Publicity and Communications Manager  
Position: Publicity and Communications Manager  
Department: Marketing  
Reports to: Director of Marketing & Communications  
     
 
  General Description:

Acts as integral member of Marketing and Communications department by coordinating media relations and implementing communications strategies, with a strong focus on advance publicity for performances to generate ticket sales. Under direction of supervisor, manages Celebrity Series e-mail mailing list. As a member of marketing team, assists/supports marketing efforts as needed.

Areas of Responsibility:

Media Relations
Under supervision of Director, acts as information liaison for press and maintains regular contact with media outlets; serves as primary press representative at performances and other events. Researches performance-related information, prepares potential stories for consideration, and pitches them to media outlets; takes a creative approach to media strategy.

Writes, edits and proofreads press releases and listings under supervision of Director of Marketing & Communications and distributes according to schedule. Prepares and assembles press kits.

Maintains and regularly updates media database and online Press Room. Collects and archives press clippings; copies and distributes to artists representatives, CS staff and others as requested.

E-mail list management
Manages creation, scheduling and distribution of mailing list and subscriber communications, including monthly newsletter, under direction of supervisor; researches, creates articles for e-mail and web distribution.

Online Branding and Communications
Submits and monitors CS information on online event calendars, artist web sites and other online outlets; monitors CS web presence and online brand; identifies new and manages current online marketing and communications relationships in conjunction with others on marketing staff.

Editorial/Copywriting
Participates in creation and editing of institutional publications and communications as needed.

Interdepartmental Contact
Maintains regular contact with other Celebrity Series departments to gather information and report to Dept. about upcoming projects that have communications implications; works with volunteers and interns as required implementing communications initiatives.

Other
Represents Celebrity Series at performances, promotional events, and selected meetings; assists with Celebrity Series Ambassadors when needed; records minutes for Marketing Department meetings. Other duties as required by supervisor.


Requirements:

  • Bachelors degree or equivalent
  • Three years experience in public relations/marketing communications, journalism or related field. Documented success in achieving media coverage preferred.
  • Detail-oriented self-starter with ability to handle multiple projects at a time and to excel in fast-paced, deadline-oriented environment. Follow-through is essential to success in this position.
  • Ability to form and maintain positive, thoughtful and professional relationships with members of the media
  • Excellent communications skills; especially in writing and editing
  • Willingness to support and assist Celebrity Series colleagues strongly preferred
  • Experience in performing arts environment; comfort and familiarity with the language of the performing arts, particularly classical music, strongly preferred.
  • Proficiency in Microsoft Windows computing environment, including word processing, spreadsheet software. High degree of proficiency in marketing and communications tasks and strategy in an online environment preferred.
  • Office hours Monday-Friday, 9-5 year-round
  • Evening and weekend hours required (in addition to office hours)

Commensurate with experience

Work Environment
The Celebrity Series offices are located in the Statler Office Building at 20 Park Plaza, Suite 1032, in Boston’s Back Bay. The building is convenient to public transportation and is fully accessible. Office hours are Monday thru Friday, 9:00 a.m. – 5:00 p.m.

The Celebrity Series of Boston, Inc. is New England’s leading presenter of music, dance, and the performing arts from around the world. AileyCamp Boston is a six-week, summer day camp that combines dance instruction with personal development workshops, creative communication classes and field trips. The goal is not to train students to be professional dancers, but to challenge the participants and to strengthen their self-esteem.

The Arts, Education & Community Program of Celebrity Series of Boston makes the performing arts come alive for young people in the classroom, in Boston’s great theaters and concert halls, and throughout the community. AileyCamp Boston is an initiative of this Program.

Duties:

  • Provide direct supervision to 20 campers in an assigned group with the assistance of Senior Group Leaders.  Accompany AileyCampers as they progress through the camp day, providing nurturing attention and guidance.
  • Monitor campers’ safety, group participation, observance of AileyCamp Boston rules of conduct, and support team building.
  • Assist instructors of AileyCamp Boston classes with implementing materials and class discussions related to course content, Monday-Thursday, and at Friday “field trip” outings.
  • Provide Basic First Aid/CPR if necessary.
  • During the last two weeks of AileyCamp Boston, assist the Artistic Director and instructors in rehearsing campers for the end-of-camp final performance.
  • Communicate individual campers’ counseling needs to the Guidance Counselor and Personal Development Staff. Working with the Guidance Counselor, provide input in a written evaluation of each camper’s progress at the mid-point and week six stages of the camp season.
  • Provide general supervision of all campers, such as breakfast, lunch, and snack duty, Friday “field trip” activities, open house and other times as needed.
  • Participate as needed in the AileyCamp Boston final camp presentation.
  • Participate in individual weekly check-ins with the Camp Director; attend all weekly group staff meetings.
  • Mandatory attendance at the staff orientation/training sessions.
  • Mandatory attendance at Basic First Aid/CPR certification training in June.

Qualifications:
Must be at least 18 years of age.  Must have a minimum of two consecutive years direct group supervision experience with middle school aged children, preferably in a multicultural community-based, or school setting.  Must have a strong desire to work with children.  Must have a lot of energy, flexibility, and sense of humor.  Must have the ability to inspire, empower, encourage, support and motivate children.  Strong limit-setting skills balanced with respect for the independence and dignity of children. A background in dance, and/or a variety of visual and performing arts is preferable, but not required.  Must be able to successfully clear a Massachusetts Criminal Offender Background Record Investigation (CORI) and a Massachusetts Sexual Offender Background Record Investigation (SORI). Must submit evidence of a physical examination within 24 months of the hire date, a record of current immunizations, and three letters of recommendation.

Development Intern:

Department: Development/Fundraising
Compensation: Unpaid, potential course credit available
Position Description: The Celebrity Series of Boston seeks a dynamic, motivated, and energetic Development Intern to work on a variety of short-and long-term projects and to assist with daily office tasks. The Intern will work in a fast-paced arts organization on projects ranging from direct mail fundraising to special events. This internship provides a great opportunity to learn about all aspects of a small development department, with access to and interaction with marketing and production staff, volunteers, and audiences.

Tasks may Include: Annual Fund direct mail campaign planning and execution; researching individual donors and creating donor profiles; updating files and donor database; assisting Development and Box Office Staff at performances; researching potential foundation and corporate supporters; assisting with special events, including The Opening Night Celebration, Celebrity Circle Dinner, Standing O! Dance Party and Online Auction. Soliciting gifts and creating marketing and promotional materials for On-Line Auction; researching other performing arts organizations and presenting summary recommendations on electronic fundraising, young professional leadership development, events, campaigns, etc.; additional projects may be developed based on intern’s area of interest; unpaid internship; complimentary tickets to 2009-2010 season performances

Qualifications:

  • Undergrad or graduate student with development/fundraising/communication/arts administration course work preferred.
  • Knowledge of classical music and/or dance a big plus
  • Must be computer literate with working knowledge of MS Office
  • Excellent time management, organizational, and communication skills
  • Creative, independent thinking a plus.
